Digital Hotel Check-In with HelloGuest and IDent from D-Trust and Governikus

30 May 2023Instead of long waiting times at hotel check-in, including time-consuming and manual data entry, the Nuremberg-based HelloGuest relies on digital processes with AusweisIDent, a solution from D-Trust and Governikus. AusweisIDent makes it possible to record and store data from ID documents securely and without errors. 

Digital Processes at Check-In with Digital Key Card on Mobile Phone

Since the amendment of the German Registration Act, hotels and guesthouses are allowed to electronically record registration data of guests. In order to make the advantages of this amendment in the law available to hotel guests, HelloGuest offers check-in before arrival in its app of the same name. All data can be provided for the registration form via mobile devices. This saves valuable time at the reception desk for hotels and their guests. The room key can also already be stored on a Smartphone. And after the stay, check-out can also be done digitally via the app, completely independent of reception desk opening hours. 

In addition to manual entry of ID data in the app, guests also have the option of using AusweisIDent Online: By entering the ID card PIN, the data is recorded securely and error-free from the ID document, such as an ID card, the electronic residence permit or the EU citizen card, and transmitted to the hotel. 

In this way, potential sources of error during data transmission can efficiently be avoided. 

If guests do not know their ID card PIN or prefer personal service, AusweisIDent also offers advantages here: With the help of AusweisIDent, the reception staff can read out the ID card data electronically on site, thereby saving time and avoiding errors, and transfer it to the in-house system. 

In this way, AusweisIDent shortens the time and personnel effort needed by hotels in a wide variety of use cases and helps with the staff shortage in the hotel industry due to the corona pandemic.

Testing as Part of the ONCE Research Project

As part of the ONCE research project, both scenarios for check-in – using the app and personal service – are to be tested at participating hotels. The ONCE (ONline einfaCh anmeldEn [simply register online]) innovation project funded by the Federal Ministry for Economic Affairs and Energy is concerned with simplifying access to digital administrative services and services on the Internet in the three application fields of “Municipality and Administration”, “Mobility and Transport” and “Hotel and Tourism”. Governikus and HelloGuest are two of the 40 companies working together to build a comprehensive ID system. Bundesdruckerei GmbH is the consortium leader of the project, as is D-Trust, a company of the Bundesdruckerei Group.
